Job Purpose

Working with the Digital Operations team, the Digital Operations Executive role is primarily responsible for end-to-end delivery of webinars for the EMEA Operations portfolio. Ranging in size and logistical complexity, you will partner with key Show Team stakeholders and lead on the planning, development, and delivery of up to 4-5 webinars a month.

You will be a core part of the Operations Team by providing support across the team of EMEA Digital Project Managers with aspects of operational delivery within the Smart Event portfolio.

MAIN DUTIES & RESPONSIBILITIESOperational duties

  • Operationally managing the flexible schedule of webinars – being mindful of working with Show Teams to avoid clashes and public holidays across multiple portfolios across EMEA
  • Full setup and end-to-end management hosting 30-45 webinars across the year using platforms such as On24
  • Ensure all preferred suppliers and Show teams are kept fully up to date with digital event information, e.g. platform build, project status, event metrics, and delivery details are communicated to an agreed frequency schedule
  • Sending out timely ‘deadline reminders to exhibitors, speakers and moderators
  • Assist with post-event reporting and analysis through collation and recording of requested data to continuously improve the webinar series
  • Be the webinar subject matter expert and assist various teams or clients directly, with operational queries

General team support & additional areas of responsibility

  • Attendance at any required meetings, minute & action taking for distribution using project management tools such as Smartsheet
  • Manage webinar expenses and invoice payments where applicable
  • Create and maintain show specific project plans in the agreed format for review & sign off by individual Project Managers on an event-by-event basis
  • Arrange internal Operations Team webinar training at the request of Senior Management
  • Co-ordinate webinar process in collaboration with Project Managers
  • Ensure all allocated operational tasks are carried out on a timely basis according to individual project plans and within deadlines
  • Participate at events (digital and physical onsite) where requested, performing ad hoc duties as instructed by senior team members

BACKGROUND KNOWLEDGE, SKILLS & EXPERIENCE Essential

  • An interest in digital event marketing, staying abreast of the latest developments and trends in the digital field
  • Able to demonstrate a proactive approach and take initiative in anticipating Show Team and sponsor/speaker webinar needs
  • Strong time management and organisational skills; can work to tight deadlines, able to prioritise and manage several different tasks and EMEA events at the same time in different time zones
  • Excellent interpersonal, oral and written skills in English with additional languages highly beneficial
  • IT confident and able to work with various systems; including, but not limited to, Outlook, Word, Excel, PowerPoint skills

Desirable

  • 12 months experience at Operations Executive level with core experience in digital event management
  • Experience with digital platforms such as Swapcard, Expoplatform, On24, Vimeo, Streamyard
  • Working knowledge and/or understanding of the digital event industry, exhibition industry and conference industry
  • Creativity and marketing acumen, great copywriting skills
  • Ability and willingness to work additional hours if required to deliver an event
